Sarey, Multi Location
• The Administrative Assistant will be based in the NRC’s ILAC office in Kunduz and will work according to the objectives and goals stated in the project descriptions and in line with NRC policies and NRC’s current Plan of Action and Strategy for the region.
• The employee shall represent and promote the interests of NRC through the implementation of the projects and through advocacy work on behalf of refugees, returnees and internally displaced persons.
Logistics
• Prepare and update two inventory lists (expandable and non-expendable) as well as report to OA on monthly bases.
• Maintain/keep updated store records and ensure all equipment is working properly and in good condition.
• Immediate report of lost or damaged equipment to OA and organizing the repair.
• To ensure project vehicles are maintained including: updating vehicle running costs, fuelling of vehicles on weekly basis, checking vehicle urgent requirements, scheduling repairs and preparing and checking vehicles trip sheet (log book).
• Dispatch driver on official tasks.
• Update and maintain generator log sheet and maintenance of generators.
Human Resource
• Maintain and update human resource filing system in an organized manner.
• Tracking of over time for support staff and preparing over time sheets.
• Maintain attendance sheet for all staff as well as for the service contractor trainers, controlled on daily bases.
• Assisting in the preparing of the staff leave sheet and liaising with the Administrator Officer accordingly in order to update the leave balance sheet.
• Flight booking for staff whenever trips are scheduled.
• Liaising with drivers, guards, cook and cleaners to ensure administrative tasks are completed on time and respond to their requests or problems.
Administration
• Perform Administration duties whenever the administration officer is absent.
• Record and copy financial administration and logistics documents and filing in an organize manner.
• Distributing of requested supplies for staffs in time of need.
• Preparing of monthly carpool report of all vehicles at the end of each month.
• Performing any other duty as assigned by line supervisor.
• High School diploma graduated from 12th class.
• At least 3 years previous work experience with International NGOs or UN.
• Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
• Must have some experience and skilled in the use of software programs such as MS Word, ACCESS, PowerPoint, and Excel.
• Fluency in written and spoken English.
