Job Summary

The Administrative Assistant/Reception reports to the DCOP Operations in Kabul and supports the Project team in all activities related to administration according to Tetra Tech DPK/RLS-Formal policies and procedures as well as USAID requirements.

Duties & Responsibilities

-Receive and greet all project visitors, notify concerned staff of visitor arrivals, and direct them to the appropriate office
-Maintain a visitors register
-Prepare identification and business cards for project staff
-Provide logistical support to the project team in arranging workshops
-As requested, attend meetings, take meeting minutes and disseminate the minutes
-Manage the office reception area, including the monitoring of office equipment
-Maintain and distribute to staff as up-to-date official contact and telephone listings for project personnel and outside contacts, including but not limited to, NGOs, government offices, and local and international businesses
-Organize and manage project administrative bulletin and announcement board postings
-Deliver and route messages, internal and external letters, and other correspondence to project staff

-Maintain control of, distribute, and re-order office supplies
-Prepare a daily spreadsheet tracker for staff time and attendance
-Other relevant tasks as may be assigned by the program management

Job Requirements

Minimum of 2 years’ experience in an equivalent position with International organizations. Work experience in USAID funded project is a plus. In addition, must be flexible, willing to perform other duties and work irregular hours.
Able to communicate fluently verbally and in writing in English. Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues. Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams.
