Administrative Responsibilities:
Facilitating the workshop, meeting and programs conducted at the institute by arranging the stationary, refreshment and others for the program.
Prepare, maintain and observe staff attendance register;
Assist all staff in HR/ Admin Policies of AIBF;
Maintain the Leave, inventory and other HR/ Administrative documents;
Supervising the Cleaners in their duties and responsibilities;
Supervising the Security Guards to maintain the high level security inside and outside the AIBF campus;
Maintaining an updated Asset register and inventory list and producing timely report;
Report to the deputy director on all HR and Administration related activities of the AIBF;
HR Responsibilities:
Maintain the HR filing system of the office;
working closely with departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures;
promoting equality and diversity as part of the culture of the organization; liaising with a wide range of people involved in policy areas such as staff performance, and health and safety;
recruiting staff - this includes developing job descriptions and person specifications, preparing advertisements, checking application forms, shortlisting, interviewing and selecting candidates;
developing and implementing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures and absence management;
advising on pay and other remuneration issues, including promotion and benefits;
undertaking regular salary reviews;
administering payroll and maintaining employee records;
interpreting and advising on employment legislation;
dealing with grievances and implementing disciplinary procedures;
developing HR planning strategies with line managers, which consider immediate and long-term staff requirements in terms of numbers and skill levels;
planning, and sometimes delivering, training, including inductions for new staff;
Analyzing training needs in conjunction with departmental managers.
The ideal candidate should be at least Bachelor Degree holder and have at least 4-5 years of working experience with one of the international organizations or private organization with sizable operation. The incumbent of the position shall understand English and shall be fluent in Dari and Pashto. The incumbent shall be computer expert and should be proficient in MS Office package.
Experience in the usage of computers and office software packages (MS Word, Excel, etc) and advance knowledge of spreadsheet and database packages, experience in handling systems
