The Admin / MIS & Compliance Officer is responsible to support and have a check on the operations team in terms of Administration, MIS and Compliance activities, follow the policies and procedures, meet the reporting deadlines, prevent from unnecessary expenses and maintain proper office administration.
Update the loan portfolio databases on a daily basis and ensure the internet connectivity for automated database backups at assigned time.
Ensure that new disbursements are made as per the policy of MUTAHID through checking the status of clients from previous MFI databases.
Collect clients’ Comprehensive Financial Service Form (CFSF) from Customer Services officers.
Fill section # 6 of CFSF and initial it before giving it to Area Manager.
Perform data entry for Mutahid clients in the MIS system on a daily basis based on CFSF, and ensure that all data is entered into the MIS databases in a timely and accurate manner.
Coordinate and maintain the filing systems required to keep data collection records in an organized manner, and ensure that all records are complete for future reviews as required.
Verify CFSF for completeness and accuracy. Report incomplete or inaccurate data collection forms to Area Manager.
Perform routine analysis and produce regular reports using predefined queries and reports.
Respond to various typing requests in Dari/English made by different units of Mutahid.
Administrative role:
Control and record petty cash.
Maintain proper filing system for all expenses.
Purchase office equipments subject to the approval of Head Office and check them periodically.
Deposit electricity bill to bank (once in 2 months).
Follow up vehicles related issues (oil change, petrol, repairing)
Check logbooks for vehicles/motorbikes.
Compliance
Responsible for monitoring and compliance part of the credit appraisal form;
Responsible for compliance review of the credit appraisal process;
Maintain all the credit approvals along with the credit appraisal file of every client;
Islamic Microfinance Operations:
Responsible for execution of Islamic financing transaction as approved by the Shariah Supervisory Board;
Responsible for maintaining all records and file management;
Responsible for obtaining possession of goods purchase under Islamic mode of financing;
Responsible for accepting offer made by the client on behalf of the Mutahid;
Monitoring the compliance of Islamic mode of financing pre execution phase of the transaction according to the approval of Shariah Supervisory Board; and
Witness all the documents on behalf of Mutahid to be executed in Islamic mode of financing.
Reporting line:
Will be reporting administratively to the Area Manager;
Will report on the compliance and credit history to the Area Manager;
Will report on the Islamic Microfinance Operations to the Area Manager;
Will report to the Head office MIS on the information system related matters;
Will report to the Head Office Finance on expenses; cash deposit vouchers, petty cash, loan collections & admin fee report
A diploma or degree with major emphasis in accounting and computer based
information systems.
Experience: At least 2 years working experience in similar positions.
Knowledge: Accounting, MS Office, Computer based information system and internet
