The Cashier will report to Finance Manager. The Cashier will be mainly responsible for all cash transactions, processing the fund transfers, maintaining financial data, entering the financial data into the system, ensuring the management and security of the funds and financial data files.
The main duties and responsibilities of the Cashier are as following:
1. Cash management
Responsible to manage the cashbox in a secure way.
Responsible to give advances to all departments following IWA internal rules with the support of the Financial Accountant and using appropriate formats.
Responsible to record payments in cashbook on a daily basis.
Responsible to make the payment, using good payment forms for each expense, checking the invoices conformity with IWA standards and the presence of supporting documents.
Responsible for the cash verification on a weekly basis and at the end of the month (monthly cash reconciliation).
Ensure the availability of cash in the petty cash box
Record advance on salaries given to employees.
2. Accountancy documents preparation
In charge of preparing vouchers (stick invoices on the voucher, fill the designation, Donor & Budget codes..)
Ensure that all the required supporting documents are attached with the invoice and meet IWA standards of invoicing before any payment
Responsible to post all transactions in to the QuickBooks system on daily basis.
Responsible to photocopy/scan vouchers and to archive properly the accountancy (by month, vouchers and operations) on a daily basis.
Responsible to inform the Financial Accountant if some expenditures are ineligible or suspicious.
Support the Financial Accountant to check supporting documents sent from other basis on a monthly basis
Liaison with bank and any other entities.
3. Administrative support & Reporting
Support the HR Officer in the preparation of the salaries and advances
Considering the importance of the accountancy documents, the cashier is responsible to maintain in order all supporting documents
Resume briefly all the activities that have been made during the week at the end of each week and at the end of the month for the monthly report
Any other task assigned by the Finance Manager.
Education
Bachelor degree in Finance, Accounting or Business Administration is preferable.
Experience
At least 3 years of work experience in the related field.
Experience in practical use of QuickBooks.
Knowledge, skills, and abilities
Background of Finance and Accounting.
Working knowledge of Accounting Software QuickBooks is compulsory.
Ability to work in a professional setting; establish priorities and to plan and coordinate project activities with others
Ability to work under pressure and cope with deadlines
Ability to work in a multi-cultural, multi-ethnic environment with better interpersonal skills Fluency in English and local languages is a must with better written and verbal communications
Strong communication skills, both written and verbal, to all levels of the organization;
A willingness and capacity to become better equipped to perform job responsibilities by transferring new knowledge and skills gained through training to the workplace;
