Job Summary

PURPOSE OF POSITION:

To gather Commodities distribution and other relevant food and non-food reports from commodity officers, warehouse, food monitors, other sectors or from partner agencies where applicable and enter them in to the Commodity Tracking system ( CTS)


To maintain accurate commodity accounting records of all Receipts, Dispatches, Losses and distributions


To ensure that the distributions records are verified, cross checked against the BDLS per respective distribution center


Ensure the commodity accounting procedures in WV Afghanistan are in compliance with the WV partnership / FPMG commodities accounting manual.

Duties & Responsibilities

MAJOR RESPONSIBILITIES

Daily Data Entry in to the Commodity Tracking system ( CTS )


Review all reports for their adequacy and accuracy against source documents.


Visiting the Warehouse at the end of the days in order to ensure all receipt, Dispatches, and return waybills are collected and brought to the office for entry.


Ensure that the Field Commodity Reports are accurate and reliable for completion of the monthly global Commodity Status Reports; including the EDP CSR, LSR and RSR For the respective zone.


Ensure that loss register is up to date and accurate both for food and nonfood.


Responsible for food and nonfood records keeping.


Responsible to verify physical inventory for the warehouses to ensure that the commodity book balances match the actual stock in the warehouses and demand explanation for any variances.


Coordinate with field staff that Receipt and Dispatch waybills, Distribution Center Visit Reports, Truck inspection Reports, Warehouse Inspection Reports, Loss/Damage Report, Weekly/Monthly warehouse movement summaries, monthly physical inventory, Beneficiary lists and other relevant reports are received on time.


Responsible to verify physical inventory for the distribution centers and transit as well.


To ensure transport payments are done on time and invoices are checked/verified based upon WVA finance requirements


Conduct physical inventory at the end of the month


Perform any other duty requested by the supervisor

Job Requirements

KNOWLEDGE, SKILLS, ABILITIES AND ATTITUDES REQUIRED

The following knowledge, skills and abilities maybe acquired through a combination of formal schooling, self-education, prior experience, or on the job training:


Required a High School Certificate or equivalent. Some knowledge of warehousing, transport, shipping and practical freight forwarding is an added advantage.


Past experience preferably with a busy NGO or a UN agency in handling of food commodities and Commodity tracking / accounting. Knowledge of major donor regulations pertaining to Commodities accountability and reporting.


Requires experience in port operations, clearing and forwarding, dispatch and logistics planning, warehousing, storekeeping, bookkeeping and computer knowledge especially spreadsheets and Commodity Tracking Systems or Statistics packages. Must have strong analytical skills.


This position requires a person who is self-starter, who can accomplish the tasks with little or no supervision. He/she must be diligent in paperwork, have integrity and be able to cooperate with warehousemen, truck drivers and transporters.
