JOB PURPOSE

CORE TASKS AND RESPONSIBILITIES
1) Daily Supply Tasks
• She/He receives from her/his supervisor all orders (Kabul and all projects) to encode in Logistix (software) database.
• She/He makes sure to have all approval signatures of orders before processing for routing.
• She/He encodes the orders in the standard MSF format, with standard codes, adds pictures, drawing, sample remarks if necessary to ensure the order is clear beyond doubt to the supplier.
• She/He notes the items regularly purchased which have no code , and suggests the creation of local code to Supply Manager / officer.
• She/He is responsible to do the reception of purchasing material by help of Store keeper/manager and preparing the document for delivery.
• She/He imports all confirmation of orders to update Logistix database
• She/He sends order confirmation to the field for update.
• On request of her/his supervisor She/He after physical receipt of freight (Med and Log), makes a reception of all freight’s orders in Logistix database.
• She/He prepares the freight document with the help of store keeper / manager and informs supply officer/manager about the need to book air freight or send them by other possible ways.
• She/He makes everyday backup of Logistix database.
• Etc.
2) Reporting and communication
• Each month, She/He makes a monthly reporting relating the daily tasks.
• She/he reports/communicates to her/his supervisor all problem about his daily tasks.
• Etc.
3) Archives supply documents
• She/He makes sure to archive all necessary Supply documents in the respect of Supply procedures.
• She/He is responsible for filing documents, correspondence and other papers relating all project in the coordination, as well as the archives.
• Etc.

The person might be asked by his superiors, in special occasions, to carry out other logistics tasks.
It can happen that, in special occasions, the person needs to work outside the normal timetable and even on Friday, Saturday or holidays.
