Job Summary

The Main responsibility of Procurement Data Entry Assistant is to assist implementation of Procurement & Warehouse Management system (PWMS), Collect data from the field and enter it into PWMS.

Duties & Responsibilities

The Data Entry Assistant will work under the supervision of Data entry Officer; the applicant will be responsible for the following tasks:

Receive and review raw data from field staff in hard and soft copy formats;

Enter collected and verified information into the database in accordance with the specified PWMS procedures;

Investigate and resolve problems with data;

Retrieve data from database as needed;

Proper and professional filing and storage of all data in a sound and professional manner both soft and hard;

Prepares source data for computer entry by compiling and sorting information; establishing entry priorities;

Make sure to write the accurate spelling and information about the deeds being entered;

Provide weekly report on all above to the line manager as need it;

Enter data into databases, ensuring the accuracy of data entry;

Contribute to project reporting, including support in developing charts, statistical reports and questionnaires;

Collect data from all Procurement staffs.

Assist Data entry Officer in developing, maintenance and modification of databases;

Keep the data of databases up to date;

Verification and cleaning of data before processing them;

Response to inquiries regarding entered data as requested;

Maintains confidential information;

Contributes to team effort by accomplishing related results as needed;

Any other tasks assigned by supervisor;

Job Requirements


At least 12 grade graduate with IT/Accounting related diploma.

At least 3 years’ experience in data management/entry, reporting and data collection

Knowledge of computer specifically MS Excel, MS Access and Database management system is must.

Medium Typing speed.

Must be fluent in English and both national languages.

Being able to work under pressure;

Being able to work to deadlines;

Having high attention to details;

Being aware of safety issues;

Being accurate;

Must take direction well and have an open mind to learning new functions

Pro-active and willing to learn and follow up on problems till they are resolve.

Be a team player and capable of working with others in a participatory method.

Self-motivated and having strong initiative skills.
