Job Summary:

The incumbent will process payments, maintaining costs reports and managing invoices. Prepare reports and documents covering accounting transactions. Ensures that accurate records are kept by standard practices.

Duties & Responsibilities:

  • Maintain & securely store petty cash bills/invoices/vouchers both in physical and electronic form
  • Make sure vouchers are prepared for each petty cash expense
  • Make sure cash transactions are pre-approved
  • Reconcile petty cash on daily basis-Prepares statements quarterly and annual statements by assembling data.
  • Must seek approval before making any payment
  • Supervise and maintain financial and administrative records and monitoring systems to record and reconcile expenditures, balances, payments, statements, and other data for day-to-day transactions and reports
  • Account balance settlement with Customers and Vendors at regular intervals
  • Administrative support to the project manager including administration of budgets and expenses.
  • Support the project team in accounting, administrative and financial matters
  • Active support to resource mobilization, partnerships, and networking issues.
  • Prepare recurring reports as scheduled and special reports as required for budget preparation, audits, or other reasons
  • Responsible to maintain up-to-date program files, records, and information both soft and hard copies.
  • Support colleagues in printing, copying, and binding materials, administrative issue, and clerical services.
  • Assist in administrative data collection and follow up rest of the processes.
  • Make sure vouchers are prepared for each petty cash expense
  • Submitting timesheets properly, allocating time accurately on the project.
  • Ensure to work with a positive attitude and maintain a healthy relationship with the fellow colleagues
  • Perform any other duties assigned by the Line Manager

Job Requirement:

  • Bachelor’s degree in business administration or economics / ACCA Part Qualified
  • At least 2-3 years of relevant experience in finance and audit.
  • Good knowledge of computer applications
