• Assist and coordinate with other HR colleagues in all assigned duties in association with the recruitment, retention and checkout processes of the international staff, in accordance with the approved rules and regulations, including but not limited to:
o administration support at the commencement of the recruitment process,
o assist with arrangements for interviews
o prepare selection letters and non selection letters for contracted positions,
o update information related to these tasks in the recruitment files and documents
o prepare and maintain personnel files for all selected staff from deployment to end of mission.
o preparation of employee contracts
o prepare information letters for selected seconded employees
o prepare information packs for selected contracted employees
• Register and maintain computer records related to the HR system and daily management of the documentation and filing systems.
• Maintain personnel records, filing system, and other duties of the HR office, with absolute discretion and trustworthiness, establishing and maintaining effective working relationship as a team member.
• Assist with all in and out processing of international employees, ensuring accurate completion of the documentation and provide all required certification related to employment.
• Respond to telephone and written enquiries, in a timely manner, providing accurate answers and information as required.
• Able to organise and structure task in a proactive and flexible manner, maintaining all professional integrity associated with observing the data protection of personal sensitive information.
• Provide cover for all personnel administration issues when other HR colleagues are on leave, including but not limited to:
o leave balance and related information, maintaining accurate records.
o update and disseminate the SitCen list in accordance with the schedule.
o provide accurate information for weekly and monthly reports.
• Any other related duties as directed by Line Manager or Chief Human Resources.
• University Degree in HR Management, Business Administration, Finance, or related field, preferred. Or, Diploma in Human Resources, Finance, Administration, Office Management or related field and minimum of 5 years related work experience.
• Minimum of 5 years work experience in a human resource and/or administration and/or finance of which 2 years working with international organisations would be an advantage
• Understanding of employment law, rules and regulations an asset.
• Excellent written and spoken English and Dari essential, written and spoken Pashtu desirable.
• Excellent computer skills in MS Office applications (Excel, Word, Power Point, Access) essential
• Experience with HR and Financial software an asset.
