Job Summary

The Load & Documentation Contractual Clerk is responsible for coordinating and ensuring the accuracy of cargo loading operations and preparing, verifying, and maintaining all necessary shipping and customs documentation. This role ensures that all shipments comply with internal procedures, customer requirements, and relevant regulations

Duties & Responsibilities

Loading Operations:

  • Coordinate and supervise cargo loading and unloading activities at the warehouse or terminal.
  • Ensure cargo is loaded securely and in compliance with weight and safety regulations.
  • Verify cargo against shipping documents such as the packing list, invoice, and bill of lading.
  • Liaise with warehouse and transport teams to ensure the timely movement of goods.

Documentation:

  • Prepare and review shipping documents, including invoices, packing lists, delivery notes, and export/import permits.
  • Ensure documentation meets legal, regulatory, and client-specific requirements.
  • Submit and follow up on customs clearance and freight forwarding documents.
  • Maintain accurate and updated records of all shipments.

Communication & Coordination:

  • Coordinate with freight forwarders, customs agents, transporters, and customers.
  • Track and update shipment status and resolve delayed or misrouted cargo issues.
  • Maintain effective communication with internal departments, including procurement, sales, and warehousing.

Compliance:

  • Ensure compliance with international shipping regulations, customs laws, and company policies.
  • Keep up to date with changes in export/import regulations and industry best practices.

Job Requirements

  • Bachelor’s degree in Logistics, Supply Chain, Business Administration, or a related field.
  • 2+ years of experience in logistics, documentation, or shipping operations.
  • Fluent English communication & Having TOEFL score is preferred.
  • Familiarity with shipping platforms and customs clearance systems.
  • Knowledge of Incoterms, HS codes, and freight documentation.

Skills & Competencies:

  • Attention to detail and accuracy.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel) and logistics software (ERP, WMS).
  • Ability to work under pressure and meet deadlines.
