Terre des hommes Lausanne (Tdh) is a Swiss child welfare foundation, that provides assistance and protection to vulnerable populations worldwide. Tdh has been working in Afghanistan since 1995 and carrying out projects related to Child Protection, Access to Justice, Mother and Child Health, and Livelihood Programs in Kabul, Herat, Kandahar & Nangarhar Provinces.
Job Summary
Overall will be responsible to support the regional office supply chain activities.
Duties & Responsibilities
Stock
Coordinate the supply and distribution/delivery of goods, monitor and assess quality, quantity, and safety of the received goods; oversee clearance and proper storage of goods.
Prepare distribution, consumption, reception, physical inventory, donation, expiration, and damage reports to the direct line manager/Project Officer monthly.
Analysis of the reports to find gaps (shortages, short expiry, supply problems, and discrepancies) and share them with the line supervisor.
Analyze the consumption of drugs and other pharmaceuticals and goods, and provide feedback to Facility management.
To do a regular physical inventory of base pharmacy and goods stock on monthly basis.
Follow up on the order reception and update Kabul Logistics Management on the status.
Control the pharmacy stock temperature and record it in a record sheet. When necessary.
Update stock cards for any movement on time.
Ensure the proper management of the items in the stock (FEFO, FIFO, and usage of near-to-expire drugs donation for close to expiring not used, and destruction for expired, storage condition ...etc)
Ensure the stock is clean and well ordered and optimize the stock management according to standard.
Oversees overall pharmacy and goods stock management at the Regional/provincial level.
Responsible for the good maintenance of all drugs and equipment in the drugstores. In close collaboration with the Base Logistics Department, follow up and manage storage conditions (e.g. humidity, temperature, light exposure, cleanliness, pest and rodent control, stock security, maintenance of cold chain, etc.), classification, organization and inventory, in order to guarantee the quality of the medicines and other medical material and prevent damage, financial losses generated by expired items, deterioration and robbery.
Any other official duty and responsibility assigned by the line supervisor.
Asset and Inventory
Register fixed assets in the system. Ensure that office assets are bar-coded and the regular physical count is performed.
Update and maintain accurate fixed assets and inventory data and reporting.
Ensure that the office premises and furniture are kept in proper condition; arrange repair/maintenance when required.
Prepare and coordinate periodic assets count across all field sites.
Submit an updated asset list for the end of the grant/project report.
During the reporting period, visit field offices or center(s) for asset inventory (physical count).
Retrieve assets and reassign them at the end of an employee’s term of service.
Review all monthly asset reports from all projects or field sites if available.
Ensure that the movement of Tdh/project assets is tracked, and documented when an asset changes its status/location.
Fleet and Transportation
Creating work schedules and transportation routes for office drivers and project drivers, managing a budget for vehicle repairs and replacements, and ensuring drivers receive proper training to uphold safe driving standards.
Responsible for leading a team of Drivers to transport company goods efficiently.
Purchasing vehicles to expand and/or enhance the fleet.
Ordering urgent or emergency repairs as needed.
Establishing efficient routes and transportation schedules.
Managing vehicle licensure and registration.
Monitoring drivers to ensure adherence to schedules and proper driving practices.
Developing methods to decrease cost and improve efficiency.
Provide regular and ad hoc reports on the progress and movement of goods.
Job Requirements
Education: University degree
Experience: Minimum Three years in a related position- and 2 years in Medicine and other pharmaceuticals stoking management preferred with an INGO/NGO.
Communication: Able to be autonomous and solution-oriented.
Language: English: Fluent in written and verbal
Computer skills: Must be excellent in; MS Excel, Word, PowerPoint, and E-mail communication.

Administration:
Administrative duties in support of management, including daily sorting of paperwork, filing, photocopying documents as necessary, and scanning documents for storage.
Assist field team in data collection, survey, coordination, and data management.
The booking process of Hotel and Transport services for staff and visitors.
Support to organized workshops/training/meetings/events, etc.
Any other tasks assigned by the Line Manager
