Job Summary

Logistic Manager is responsible for overseeing the day-to-day general aspects of logistics operations including Logistics, Training and Events Management, Office Security, Transportation, Assets Management and Facilities/Maintenance. This position will have responsibility for assisting development and implementation of policies and procedures that enhance logistics operational effectiveness.
The Manager will also coordinate activities with the project team to achieve operational goals and objectives. The Logistic Manager will report directly to Director of Operations
.

Duties & Responsibilities

• Coordination of day-to-day project’s Logistic operation.
• Oversee business activities specifically Administration, Transport, Logistics, Facilities, asset Management and Training and Event Management.
• Development of written policies and procedures to achieve compliance with laws and USAID regulations and monitor compliance.
• Maintain close contacts with Security Department and assist with the Local staff Phone Tree when required.
• Oversee meetings, trainings, events and conferences arrangements and coordinate with Procurement Department for the supplies needs.
• Determine the needs of the office plan and implement solutions.
• Supervises the transports, facilities, logistic, assets/Inventory and administrative staffs and ensure that written procedures are being followed;
• Management of organ gram and roster, both expat and local and GIROA beneficiaries.
• Ensure proper maintenance of all properties in Kabul and other regions, including repairs and cleaning, supervision of Property maintenance officer to ensure that all work orders are conducted in a timely and professional way (such as supply of drinking water, and provision of other utilities at the properties.
• Ensure that the log books for the electric meters at all properties are maintained and the bills are paid on time and recorded on the property books.
• Coordinate directly with property owners to ensure that relations with landlords are positive and that contracts (lease agreements) and payments are up-to-date.
Coordinate with security staff and admin staff to ensure that guards are adhering to job description and the coverage of all properties is provided.
• Responsible for tracking of all assets related to expatriate staff housing including and Kabul office and regional offices.
• Managing of equipments, stock and storage of necessary items such as fans, and heaters, during the seasons when not in use.
• Supervise the Office and provide oversight to the management of Transportation/vehicles including: proper vehicle use, vehicle files, accident reports, vehicle schedule, and rental calendar and rental payments.
• Ensure vehicles are managed properly in regards to all security regulations.
• Ensure the maintenance of a proper inventory of all equipment and furniture belonging to project’ in Kabul and the regional offices are done on monthly basis. The updated copies of assets are submitted to the Director of operations and maintained in a file for this purpose.
• Monitor implementation of asset tracking system including use of asset tags, movement of assets and upkeep of an asset register.
• Ensure all assets purchased for the project in Kabul and regional offices are in use and are properly marked upon receipt.
• Represent the company/project in a professional manner to government officials, local and international community groups, and others as needed.
• Act as a senior national staff member; attend meetings and pass information to those under direct supervision.
• Perform any other duties as may be required by the supervisor;

Job Requirements

• Have a Bachelor degree in Business Administration, Engineering or in any relevant subject
• High command of English Pashto and Dari both in writing and speaking
• Ability to present the data and finding to the higher levels management in project management.
• Excellent interpersonal skills and team work
• Minimum 5 - 7 years of work experience in Administration, Engineering or in any relevant subject.
