To provide a hands on approach to directly supervising over 30 drivers (Mainly HQ) in conjunction with, and in the absence of the Transport Manager to ensure the continuity of material and personnel supply to approximately all Ti projects.
To assist Ti Motor Pole Department in providing a comprehensive administration, clerical support services to the Transport Manager.
• Provide high-level administrative support for an office and for Logistics Administration.
• To assist the Transport Manager to ensure personnel and material deliveries meet performance standards. This includes day to day control of 40 HQ and Projects drivers.
• To assist the Transport Manager to ensure the transport fleet is maintained and serviced for the operation of the goods vehicle operator license. Maintain services schedule and ensure all drivers comply
• To note/record/implement and maintain a comprehensive and accurate database of all delivery/material and transport activities.
• Liaise with up to 2 officers on stores and transport related issues on a daily basis, including site visits to review any problems on transport activities.
• To assist the Transport Manager in providing end of month performance reports for the personnel delivery report, fuel and material deliveries made and to monitor and report on findings to the Area Manager in the monthly Performance Review process.
• Liaise with staff at Lister Road Fleet Management over breakdowns, accidents, vehicle releases and punctures.
• Liaise with the Motor Pole Mechanic with regards to vehicle maintenance and repairing.
• To assist the Transport Manager in maintaining and updating an accurate driver profile database and license checking.
• To prepare personnel list roaster and organization chart of Motor Pole.
• To authorize the arrangements for skip delivery/collection.
• As part of the Stores team to assist the Deputy Manager to ensure all the paperwork and support are generated to maintain the operations of 40 driver/store men.
• Produce management information and statistical reports, emails, spreadsheets, schedules, database and word processed documents such as minutes, letters, memos, reports, disciplinary action if required.
• To provide a prompt and effective reception/telephone answering/message taking service for the office, dealing courteously and efficiently with representatives, tenants, members, other departments etc and to ensure that the telephone answering machine is maintained and working out of normal hours.
• Attend Transport Operation meetings both internally and externally and take necessary minutes.
• Maintain the database for drivers travel registration report, training and safety competency checking.
• To supervise and mentor Management Trainee’s within the Stores/Transport Section and to oversee any training requirements in conjunction with Trainee’s performance criteria.
• Maintain a fully comprehensive cost data base for every fleet vehicle.
• Any other duties which commensurate with the nature of the post
Minimum Experience: three years
High school education required
Knowledge of administrative and clerical procedures
Knowledge of computers and relevant software applications
Verbal and written communication skills
Professional personal presentation
Working knowledge of the company’s telephone system
Good telephone manner
Maintains cheerful and welcoming attitude towards guests
Closely observes visitors and notifies security of any suspicious behavior
