Job Summary

Work closely with the Project Pharmacist to put procedures in place. For that, the main activities will be:


Assisting to promote effective organization of the project’s medical supply chain and distribution flow in order to make quality drugs and medical material available at project level.

Ensuring respect for Good Distribution Practices for Pharmaceutical Products (GDP) in the Hospital.

Ensuring that the tools used in pharmacy management are used in a standard format.

Assisting to avoid financial losses due expired products, overstock or placing “exceptional” orders to address shortages.

Assisting to put on place appropriated consumption follow-up system.

Assisting to supervise pharmacy staff and daily workers.

Duties & Responsibilities

Together with pharmacy staff, do receptions during arrival of products.

Update all movements in Stock Cards.

Ensure that the stock level is updated by doing regular physical inventories at Hospital Pharmacy and supporting in Central Pharmacy and End-user Units.

Support to organize drugs and medical materials according to MSF standards (by category, alphabetical order on international non proprietary name, expiry date, “first expiring first out” system - FEFO) at all project’s level.

Support to ensure the stock is in perfect conditions of: hygiene, organization, storage capacity, ambient temperature.

Be responsible for all movements and storage of drugs under controlled use (narcotics, psychotropics and precursors).

Follow up stock level at Hospital Pharmacy by doing a list of items to replace and reporting to the project pharmacist any change in the consumption.

Be responsible for monthly orders submitted to pharmacy.

Support the ordering process from Services - weekly and daily orders - to ensure they are done
appropriately and according to standards, reporting to project pharmacist any irregularities in prescriptions.

Supervise the fill in of tally sheets closely to avoid mistakes and to keep daily register of outgoing drugs.

Support the ordering process of Not Planed Orders.

Follow up expiry dates at Hospital Pharmacy level, by doing a list of items to expire within 6 months and reporting to the project pharmacist.

Supervise and support the management of expired/damaged items.

The assistant project pharmacist might be asked to record movements in Isystock, as well as to collect and sum up data from other follow-up sheets on Excell.

Report immediately to the project pharmacist any problem arising in the service, especially the loss/ robbery/damage of medical equipment or medicines.

On request perform any other additional duties given by the immediate supervisor in order to allow the organization to function optimally (23)

Pharmacy monthly meeting

Weekly medical meeting if the project pharmacist is on leave
B. REPORTING

Assisting the project pharmacist for weekly and monthly pharmacy report

This job description can be modified according to the evolution of work.


Working hours: Saturday to Wednesday: 08:00 to 12:30 and 13:30 to 17:00

Job Requirements

Minimum of intermediate diploma in pharmacy;
- 2 years experience in a similar position;
- Experience in an international organisation, NGO is an asset;
- Fluent English level oral and written, Dari compulsory, Pashtu is an asset;
- Very organized person able to plan his/her work in advance, autonomous and rigorous;
- Motivation to work in an international/inter-cultural context and humanitarian and team spirit.
- Dynamic, flexible, adaptable;
- Sense of responsibility and care;


Order, reception, distribution and use of medical supply. Assist on management of hospital pharmacies and consumption follow-up.
