Job Summary

Under the overall guidance of the ACD and direct supervision of designated supervisor if applicable, the Programme Assistant provides programme support services ensuring high quality, accuracy and consistency of work.

The Programme Assistant works in close collaboration with the operations programme and project staff in the CO and UNDP HQ as required exchanging information and supporting programme delivery.

Duties & Responsibilities

Summary of Key Functions:

Support to formulation of programme strategies and the Country Programme Action Plan;

Support to management of the CO programme and administrative support to the Programme Unit;

Support to resource mobilization;

Support to knowledge building and knowledge sharing

Supports formulation of programme strategies and the Country Programme Action Plan focusing on achievement of the following results:

Collection, analysis and presentation of information for identification of areas for support and programme formulation/ implementation.

Provides effective support to management of the CO programme focusing on the achievement of the following results:

Creation of projects in Atlas, preparation of budget revisions, revision of project award and project status, determination of unutilized funds, operational and financial closure of a project;

Presentation of information for audit of Projects;

Providing support to the overall management of the programme Section such as liaison, tracking of work progress, organizing and distributing of work, maintenance of procedures and standers;

Drafting substantive and non-substantive correspondent and ensuring follow-up for conformity with established procedures and accuracy of statements before signature by supervisor;

Maintaining office records, references material general and project files, marinating and updating relevant manuals used by Programme Section;

Managing processed related to travel, study tours other training/ non training activities outside the country in liaison with concerned units;

Arranging internal and external meetings, involving high-ranking officials;

Receiving screen, logs and routs correspondence, attaching necessary background information and maintain follow-up. Arranging appointments and maintain supervisor\'s calendar, receiving visitors, screening telephone calls and answer quires.

Supports resource mobilization focusing on achievement of the following results:

Review of contributions agreement, managing contributions in Atlas.

Supports knowledge building and knowledge sharing in the CO focusing on achievement of the following results:

Participation in the trainings for the operations/ projects staff on programme;

Contributions to knowledge networks and communities of practice;

Contributions to knowledge building and knowledge sharing within the organization.

Taking minutes and circulating to the managements;

Preparing and processing attendance sheets for the unit staff and submission to HR;

Taking updates and briefing from unit Staff to be presented to the management updates DCD & ACD meeting;

Serving as unit security focal point (circulating Security advisory messages to the unit colleagues;

Preparing monthly calendar of events;

Maintaining all units\' project\'s failing system.
Key Results:
Accurate data entry and financial information have an impact on the quality and implementation of the UNDP programme. A client-oriented and efficient approach impact on the image of UNDP in the country.

Good knowledge of Results Management Guide and Toolkit.

Focuses on result for the client and responds positively to feedback;

Consistently approaches work with energy and a positive, constructive attitude;

Remains calm, in control and good humored even under pressure;

Prince2 training and certification, RMG and knowledge of ATLAS would be advantage.

Job Requirements

Education:


High School graduate with specialized certification in Accounting and Finance.

Bachelor\'s Degree in Business or Public Administration, Economics, Political Sciences and Social Sciences would be desirable, but it is not a requirement.

Experience:


With high school 5 years of relevant administrative or programme experience is required at the national or international level;

Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages, experience in handling of web based management systems.

Language Requirements:


Fluency in English, Dari and Pashtu
