Job Summary

Under the overall supervision and guidance of the Programme Officer/ Nutrition, the Programme Assistant will be responsible for the following duties related to WFP nutrition programmes and initiatives.

Duties & Responsibilities


Under the guidance of Programme Officer/Nutrition, the PA/N will assist in coordination with WFP Areas and Sub-Offices (AOs/SOs): a) call for proposal and submission timelines, b) review of detailed budget lines with relevant A/SOs, c) coordinate and follow-up with COPAC colleagues for timely inclusion of TSFP projects in COPAC agenda, d) present project budget lines in COPAC meeting as required and timely communicate COPAC feedback to relevant A/SOs and vice-versa, e) timely prepare and print FLA/amendments including budget and all other required documents for CD’s signature f) Ensure the timely signing of all FLAs/and amendments, e) coordinate internally within WFP-CO, A/SOs and CPs to ensure the FLA/amendments are timely received by relevant CPs and A/SOs;

Manage and maintain paper and or electronic records of the FLAs and Amendments, including regularly updating the tracking sheet to be shared with PND, within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.

Maintain records on programme activities, from formulation stage through completion, by extracting relevant information from reports, project committees, budget records and other documentation; make information available for country briefs, and other related purposes; keep all program files up to date and well organized, in the common drive, and ensure easy access by the nutrition unit colleagues.

Collate information for inclusion in reports, documents and correspondences, to support the effective work of the nutrition unit.

Regularly communicate with nutrition cluster/PND information management officers and WFP field offices to ensure timely and complete submission of TSFP reports to nutrition cluster/PND.

Maintain a well-coordinated working relationship with key relevant unit staff within the CO and AOs/SOs;

Provide support for timely procurement of nutrition related goods and services as per plan.

Contribute to improvement of business procedures and processes.

Logistical and administrative arrangement of nutrition workshops, review meetings and other nutrition related events and meetings in coordination with business support assistant of program unit.

Collect and perform basic analysis of data to contribute to quality business information management

Regular review of specialised nutritious food stock information and provide required feedback to nutrition unit colleagues and field offices.

Undertake all the administrative work for the nutrition unit in close collaboration with the Programme Business Support Assistant.

Perform other related duties as and when required by Nutrition Unit

Job Requirements

Education: First University Degree (Bachelor) will be prefered or minimum a High School graduate with additional years of related work experience and relevant technical trainings/courses.

Has facilitated communication with technical teams (i.e. nutrition, VAM, etc.).

Has contributed to implementation of Nutrition programmes.

Has observed or assisted with policy discussions.

Effective and timely management of FLAs/Amendments, well-organized, complete and accurate reports, records and/or data, put together independently with only general guidance; effective nutrition unit business process performance and good working relationship other staff; the overall management of nutrition programme improved.

Language: Fluency (level C) in English language and in Dari and/or Pashto
