Job Summary

1.Report directly to Deputy Logistics Manager,
2.In absence of Dep. Log. Manager, report to Logistics Manager

Duties & Responsibilities

Property Receiving Responsibilities:
1.Fully understand Section 5 – Inventory Management, of the AIRP Policies and Procedures,
2.Coordinate with Dep. Log Manger and finance on all documentation,
3.Prepare Receiving Inventory Reports (RIR),
4.Ensure RIR and supplier invoice are distributed,
5.Financial and Procurement Departments receives copies of all documents that pertain to items procured using the petty cash purchase requisition form (PCPRF), Purchase Requisition Form, and Subcontract Requisition Form
6.The IT Inventory Coordinator and the Date Coordinator receive copies of all the aforementioned documents,,
7.Report physical inventory findings to Data Coordo by 25'" day of each month,

New Property Tagging Responsibilities (Assist as required):
1.Coordinate with Procurement and Warehouse staff to properly receive property,
2.Record Manufacturer, Model, and Serial Number of property received,
3.Affix property control number to received property, with identical backup number written in permanent marker as well,
4.Update newly received property in RIR tracking log,
5.Report updated RIR tracking log to General Inventory Data Coordinator by 25th of each month,

Document Responsibilities (Assist as required):
1.Complete Transfer, LDD, or Issuance Form and tracking log in absence of responsible staff members,
2.Request Document Backstop Coordinator to complete forms in your absence.

Additional Responsibilities:
1.Complete other duties as assigned.

 

Job Requirements

Essential Qualifications:

•Good knowledge of Excel and/or Access software applications
•1 – 3 years Experience in accounting, auditing, or logistics procedures;
•Ability to take direction from supervisors and be independent;
•Ability to work well under pressure;
•Education in Logistics, Operations, Accounting, or Business Administration.

Desirable Qualifications:

•Expert knowledge of Excel and/or Access software applications
•3 – 5 years experience with USAID inventory, or logistics procedures;
•Knowledge of FAR
•Degree in Logistics, Operations, or MBA

Level of English required:

•Fluent in both written and spoken English, with the ability to draft substantive correspondence.
