Job Summary
The Provincial Branch Accountant will manage the financial operations of the AIC provincial branch, ensuring accurate financial reporting, maintaining internal controls, and complying with both AIC’s financial policies and local regulations. The accountant will play a key role in supporting the branch’s financial health and assisting the head office in meeting the company’s financial goals
Duties & Responsibilities
1. Financial Reporting & Record Keeping:
Maintain accurate and up-to-date financial records for the provincial branch.
Prepare and submit monthly, quarterly, and annual financial reports to the headquarters, ensuring compliance with AIC’s accounting policies.
Record and categorize all financial transactions, including revenues, expenses, payroll, and procurement activities.
Maintain and reconcile bank accounts, ensuring that branch accounts are balanced and discrepancies are addressed in a timely manner.
2. Budgeting & Forecasting:
Assist in preparing the branch’s annual budget in collaboration with the Branch Manager and the Finance Department at the head office.
Monitor the branch’s financial performance against the approved budget and provide regular updates to the Branch Manager.
Analyze variances between actual spending and the budget, explaining any discrepancies and making recommendations for adjustments.
3. Accounts Payable & Receivable:
Oversee the accounts payable process, ensuring that all vendor invoices are properly recorded, authorized, and paid on time.
Ensure timely collection of accounts receivable, following up with customers on outstanding payments and resolving any issues related to invoicing.
Maintain detailed records of payments made and received, ensuring all transactions are appropriately documented and compliant with AIC’s internal controls.
4. Internal Controls & Compliance:
Implement and maintain internal controls to safeguard branch assets and ensure the integrity of financial reporting.
Ensure compliance with AIC’s financial policies, procedures, and local regulations, including tax laws and government reporting requirements.
Collaborate with internal and external auditors to ensure all financial documentation is accurate and accessible during audits.
5. Payroll & Employee Expenses:
Process branch staff payroll, ensuring accuracy in salary calculations, deductions, and benefits according to company policy.
Record and reimburse employee expenses, ensuring they are properly authorized and documented.
Ensure compliance with tax regulations and that necessary deductions are made and reported accordingly.
6. Cash Flow & Treasury Management:
Monitor the branch’s cash flow, ensuring there are sufficient funds to cover day-to-day operational expenses.
Manage petty cash, keeping accurate records of all cash transactions and reconciling balances regularly.
Coordinate with the head office on any cash requirements or fund transfers needed to support branch operations.
7. Financial Risk Management:
Ensure that financial systems and processes are in place to minimize risks of fraud, errors, or mismanagement of funds.
8. Coordination & Communication:
Work closely with the Provincial Branch Manager to provide financial insights and support decision-making.
Coordinate with the head office’s finance team for guidance on financial reporting, budget revisions, and compliance matters.
Provide financial training or guidance to non-financial staff as needed to ensure adherence to the company’s financial processes.
Job Requirements
Qualifications:
Bachelor’s degree in Accounting, Finance, or a related field (professional certifications like ACCA, CPA, or equivalent are an advantage).
Minimum of 3-5 years of experience in accounting or finance, preferably within a branch or provincial office setting.
Strong knowledge of accounting principles, financial reporting, and local tax laws.
Proficiency in accounting software (QuickBooks, ERP systems) and Microsoft Office Suite (Excel, Word).
Excellent organizational skills with a high level of attention to detail.
Ability to work independently and as part of a team.
Fluency in Dari, Pashto, and English.
