Job Summary

Responsibilities and Duties:

Duties & Responsibilities

Responsibility 1 - Review all VRF as submitted, ensuring that roster is efficiently planned and conducted and that appropriately skilled drivers are assigned to each task:

Coordination of transportation services, regular vehicle maintenance and insurance.

Checking and certifying of vehicle daily log and fuel consumption, update and maintenance of vehicle history report.

Prompt reporting and investigation of cases of vehicle accidents, damage, loss or theft of items; update and maintenance of vehicle history report.

Ensure that the respective VRF (Vehicle Requisition Form) is available in the vehicle while performing a particular task.

Ensure that entry to the Trip Ticket Summary (TTS that is uniquely serial numbered) is correctly made for work undertaken by a vehicle.

Record VRFs to the VRF Summary Sheet, and enter in the Garage Package.

Fuel filling up, use of consumables and any repair work carried out during the operation of the vehicle must be recorded together with relevant unit costs.

Approve fuel slips and any repair work carried out during the operation of the vehicle.

Close TT & TTS at the end of each month and complete usage report, entry to the Garage package and any other related reporting within first week of the following month.
Responsibility 2 – Operations

Supervise drivers’ performance and time keeping for all vehicles operation in the Pool to ensure adequate service quality, timeliness, cost efficiency and compliance with the Vehicle Operation Standards and Plans.

Upon completion of repair work of a Pool vehicle, road test the vehicle if necessary to ensure that all work has been conducted correctly, safely and reliably. Ensure adding the vehicle to the roster for customer use in a good & clean condition. Co-approve the job card and ensure that the Workshop Supervisor also approves the work undertaken by signing either the job card or a vehicle delivery voucher. Copies of job cards and/or delivery vouchers should be recorded in the Vehicle Operation Section for ready reference.

Ensure that all vehicle files are updated to include adequate documentation regarding the vehicles’ Operation history.

Ensure that all Operational, Technical and financial reports are completed accurately and on time.

Provide recommendations for the disposal of vehicles and motorcycles that have passed their economic life

Every six months, conduct a client satisfaction survey and identify policy and procedural issues that could be addressed to improve Vehicle Operation Services.

Control all vehicle tools, equipment and other supplies, ensuring correct tools are used for distinct jobs. Conduct monthly count of vehicle tools under the custody of the drivers.

Sourcing Workshop for the best maintenances

Ensure that PMU vehicle policies, guidelines and procedures are strictly adhered to.
Responsibility # 3: Staff Development

Organize effective training and development program for the transport team

Manage all staff assigned to the transport Pool and drivers assigned to individuals. Monitor staff performance according to PMU Performance Management System (PMS). Prepare monthly staff time allocation/work plans in order to ensure the maximum utilization of the drivers. Provide monthly staff productivity and utilization reports to the Admin Manager.

Updating security issues to the drivers and transport pool
Responsibility # 4: Undertake other tasks or responsibilities as assigned by the Supervisor.

Job Requirements


Diploma in Automobile engineering or equivalent certificate in transport management, technical training on related subject.

At least 2 years experience in the field of vehicle operation

Holder of a valid driving license.

Knowledge of wide variety of vehicles and motorcycles.
