The Travel and Visa Officer is responsible for processing and acquiring Invitations, work permits and visas for expatriates and nationals travelling to/from Afghanistan on official business. The post holder is also responsible for booking of tickets, airport transportation and arranging accommodation for travelers. The Travel and Visa Officer reports to the Operations Manager or Deputy Operations Manager.
Booking of internal and external flights for SIKA-South national and expatriate staff – with local airlines.
Responsible for in-county and International travel arrangements (including hotel booking) and ensure compliance with all USAID rules and regulations.
Prepare travel itinerary, source economic fares and routes and provide timely information on changes in airline schedules to the travelers.
Provide guidelines on travel issues to all staff on timely manner.
Provide timely information to Operations and Security departments regarding incoming and outgoing travelers so that adequate advance pick-up and drop-off arrangements can be made.
Focal point for US Embassy Air airline.
Liaise with US Embassy Air and other airlines that are approved by USAID to make flight bookings.
Assist in acquiring passports and visas for staff travelling to other countries on official business.
Invitation of new lont- and short-term expatriates for process of visas and work permits in Afghanistan.
Obtain work permits for expatriates.
Initiate timely steps for visa processing and provide constant feedback on progress/ status to supervisors and incoming visitors.
Process any issues regarding updating company license.
Develop and implement a filing system for all air travel procured in Afghanistan, and for visas, passports, work permit and registration for all expatriates.
Prepare vouchers for travel and hotel payments and other payments directly related to the duties elaborated above.
Ensure that all supporting documentation is attached as per Finance regulations.
Maintain and follow-up travel tracking system.
Track and report on monthly travel expenditure (tickets, visas, work permit).
Ensure that all visitors to Afghanistan are provided with up-to-date information regarding SIKA-South’s contact persons and service providers to assist them with their transit concerns or problems.
Responsible for day to day activities of travel department.
Perform any other duties assigned by the supervisor
High school education is required
Familiarity with international travel and visas
2 years experience in working with international NGOs or a USAID project
Good knowledge of airline ticketing systems
Customer service orientation
Proven experience in administration with emphasis on travel
Excellent English and Dari/Pashtu languages oral and written
Must have computer skills
Good planning, organizational, diplomatic and reporting skills
Ability to be flexible, work irregular hours and under pressure and be multi-tasked
Strong attention to detail
Excellent interpersonal communication skills
Availability On Call
Excellent cross-cultural skills; prior experience working in a multi-cultural environment is an added advantage.
