The Warehouse Assistant under the direct supervision of Logistics Officer is responsible for all the following tasks:
• Warehouse Assistant is responsible for the supervision of all floor operations related to receipt, storage and movement of supplies and equipment in the Warehouse and keeps accurate records of all material placed in or routed through the Warehouse. The Warehouse Assistant assumes the responsibility for the conduct of the administrative aspects of the overall Warehouse Management.
• He/she is responsible for general order and tidiness of Warehouse and for the UNOPS equipment stored in the Warehouse. The UNOPS equipment includes material and equipment such as: office furniture and equipment, communications equipment, computer supplies and equipment, photocopy equipment, de-mining equipment, spare parts vehicle; diesel-electric generators and other miscellaneous non- expendable materials.
• Supervises, organizes and assigns work to the Warehouse staff, is responsible for instructing them on mode and location of storage, for correct stacking of material and equipment, on the general procedure on Warehouse Management. Supervises the staff in preparation of material and equipment for shipping to the field, including the preparation and issuing of Hand Over/Return vouchers; Movement Form; Gate Pass. Ensures that the documents are properly signed by receiver or driver. Warehouse Assistant must forward Hand Over/Return and Receipt and Inspection Report documents to HQ Supply Unit, for updating the Inventory Data Base.
• Supervises loading and unloading of trucks and is responsible for the work safety of the staff during the above mentioned work processes.
• He/she organizes and is responsible for Receipt and Inspection Report on items delivered to the Warehouse by the Suppliers (according to the PO specifications) and the material being returned from the field. He reports to the Logistics Officer on any equipment items returned to the Warehouse in a damaged condition. He/she coordinates and conducts follow up action with Supply Logistics Assistants on equipment needing repair or write-off resulting from the discovery of their non-serviceable condition.
• Is responsible on a timely manner for the distribution of equipment inside the Mission, as per the distribution plans received from Supply Section. Must assure that proper Co-ordination is conducted for delivery of outgoing items with the cooperation of receiving staff. Organize, conduct and maintain the inventory control of stock on hand at the Warehouse. It is necessary to maintain a high degree of accountability for the equipment held in the Warehouse and the Warehouse Assistant is responsible for that. He/she does spot checks equipment stored in the Warehouse and on the documents prepared by Warehouse staff.
• He/she analyze the stock and assets movement. Determines the qty required to maintain adequate stock level. Initiate the demand for replenishment of stock and evaluate budget performances.
• He/she prepares all reports and notes to files, on monthly and quarterly basis including Warehouse inventory stock and discrepancies; damaged equipment; shortfall of items; recommendations. The reports are to be submitted to the Logistics Officer.
• Justifies overtime to the Logistics Officer. Writes Performance Evaluation Reports for Warehouse Staff as the first reporting officer and recommends extension of contracts to the Logistics Officer.
• Participates in the investment plans for the warehouse in connection with the budget preparation.
• Maintain related filling system
• Other duties as assigned
• High school degree or equivalent certificate.
• 2-3 years experience with a progressively responsible background, in a relevant discipline (Warehouse Management, Inventory)
• Must demonstrate a willingness to take action and demonstrate logical decision-making attributes.
• Fluent in English and Dari; experience in reporting and typing.
• Strong planning and organizing skills, ability to coordinate work schedule, work to tight deadlines and handle multiple projects/activities
• Flexibility in understanding and accepting any kind of assignment.
• Thorough knowledge of computers including Word, Excel, Power Point, Lotus Notes, Outlook and Access. Knowledge of Inventory Data Base is an asset.
• Capable of working in a multi-national/cultural environment.
• Teamwork, reliable and able to work under pressure.
