Job Summary

The purpose of hiring the position of Warehouse Officer is to support the warehouse management in delivery / distribution the seeds and fertilizers in 9 different areas divided between Helmand and Kandahar. The Warehouse Officer is primarily responsible for:
a) Accurate counting of commodities during off-loading from containers/wagons to warehouse and delivery from warehouse to distribution points,
b) Maintaining Tally/Tracking Sheets for all such counting and assist the Warehouse Manager in maintaining the commodity inventory and,
c) Taking care of a particular warehouse assigned to him/her.

In addition, s/he coordinates with other staff of warehouse operation to ensure that the counting is accurate. The Warehouse Officer directly reports to the Warehouse Manager.

Duties & Responsibilities

Warehouse Officer’s specific tasks include::
 Prior to receiving commodities, coordinate with the Warehouse Manager and ensure that necessary arrangements are in place.
 Before starting the off-loading operation, in coordination with the Warehouse Manager, discuss/explain IRD’s procedures with the representatives of shipping company, independent surveyor, customs, if any etc.
 Ensure that the workers maintain discipline to avoid crowd/rush that may lead to disruption during counting and keeping track of number of unit off-loaded/loaded.
 Assist the S-RAD Technical Team to check the quality of commodity and maintain inventories of seed that is being processed and seed that is tagged and ready for distribution.
 Maintain Tally/Tracking Sheets against each of the container/wagon off-loaded. Upon completion of off-loading, check the arithmetical accuracy and get the signatures of other stakeholders involved in off-loading operation. In case of any torn/slack/damage units, keep them aside and immediately upon completion of off-loading, carry out reconstitution/repackaging and clearly note the loss/damage on such reconstitution/repackaging in the Tally Sheets. Apply the similar procedures during delivery of commodities to distribution points. Prior to start loading the trucks, check and ensure that the trucks are dry and clear and nothing (chemicals or any item) is there that can contaminate the food.
 Correctly manage and account for all incoming and outgoing stock by using well maintained and detailed documentation.
 Completing waybills, custody transfer forms, and other documentation related to seed inventories and shipments from seed companies to distribution sites.
 Regularly reporting changes in seed inventories to the Warehouse Manager.
 Prepare daily reports on seed inventories and submit them to the Warehouse manager .
 Report changes in tagged and stacked seed lots to warehouse manager
 Instruct/guide the workers in maintaining proper stacking of commodities in the warehouse and ensure that each stack displays a stack card and it is updated on each transaction.
 Assist the S-RAD Technical Assistance Team in taking seed samples at seed company warehouses.
 Carry out daily physical counting of assigned warehouse.
 Check the Seed Letters provided by transporters to verify their authenticity and the truck driver’s authority to transport the seed.
 In case of any rodent/insect attack on the commodities in assigned warehouse, immediately bring it to the notice of the warehouse manager
 Correctly manage all IRD SRAD Warehouses and Stores. All stock should be accountable and regularly checked. All stock should be stored in the manner by which each specific line demands (shelving, pallets, locked box).
 In case of any door/window/ ventilation breaking or any evidence of diversion of commodities, immediately, bring it to the notice of the warehouse manager
 Ensure Warehouse safety measures are strictly followed.
 Maintain cordial and good relationship with all officials.
 Ensure that the suspected damaged food is stored separately to avoid any cross infestation or contamination to sound stock.
 Ensure that the dispatches are made in accordance with the allocation indicated in dispatch advice.
 Any loss/damage causes to the commodity due to negligence, the employee shall be liable to compensate the loss/damage.
 Perform any other tasks assigned by the supervisor as/when required.

Job Requirements

 12th class education is required; University degree is preferred.
 At least 1 year of experience in warehouse management and/or inventory control;
 Basic experiences in warehouse managing and inventories;
 Understanding of international NGO standards and procedures;
 Experience in dealing with USAID as well as other international donors is preferred.
 Ability to be flexible, work irregular hours and be multi-tasked;
 Excellent interpersonal skills;
 Ability to work harmoniously within a multicultural team
 Should operation the usual MS. Office package with insist on MS. Word and MS. Excel.
 Basic in written and spoken English, and fluent in Dari and Pashto is essential.
 Strong organizational skills, ability to work independently, multi-task with attention to detail
 Time management and prioritization skills;
 Skills in database management and record keeping;
 Reliable, Honest, Transparent; Commitment for hard work & exceptional work ethics;
 Ability to maintain confidentiality;
 Tactful and diplomatic;
